FAQ

Straight answers.

If your question isn’t here, ask us on the support page.

Is it a robot?

Yes — it’s an AI. Every call starts with it saying it’s a virtual assistant and that the call may be recorded, and if someone asks, it says honestly that it’s an AI.

What happens in an emergency?

It gets the caller’s name, number and what’s happening, then rings your on-call person — and, if you set them up, up to 3 backups, one at a time, while the caller holds. Each person hears who’s calling and why, and must press 1 to take the call, so voicemail can’t pick it up. If nobody does, it comes back to the caller and promises a call back within the time you set (5 to 60 minutes; 10 if you don’t change it). In your portal you set your daytime calls (a ring list for business hours) and your after-hours on-call (a weekly rotation, plus a default after-hours number for any week without one).

Can I keep my phone number?

Yes. You keep your number and your phone company. You set your line to forward calls to your Call Captain number — all calls, or only the ones you don’t answer.

What if it can’t help the caller?

It takes a clear message for your team, or — during business hours — connects the caller to a person when they ask or press 1. It doesn’t make up prices or promises.

Can callers reach a real person?

During business hours, yes: they can press 1 or ask, and the call rings your transfer number — or your ring list of up to 4 people, in order. After hours, only emergencies and callers you’ve marked VIP are transferred, to your on-call team.

Will it quote prices?

No. It only shares facts you’ve given it, and never invents prices, availability or promises.

Are calls recorded?

Yes. Every call starts with the AI saying the call may be recorded. You can play back the recording in your portal for 90 days, after which it’s deleted; the text transcript and summary stay. Recording stops before a call is transferred to your team.

Can I change what it says?

Yes. In your portal you can change the greeting, the closing, the AI’s name, your hours, your daytime calls and after-hours on-call, your job types and your service area.

Can my best clients skip the line?

Yes. Mark them as VIP in your portal. When they call, Ava greets them as a priority client, skips Storm Mode (the busy-day setting that takes callbacks in order of urgency), and sends them straight to your team — even after hours.

Can my team get alerts in Slack or Google Chat?

Yes. Paste your channel’s webhook link in your portal and pick which alerts to send: call summaries, critical calls, who took a call, missed hand-offs, follow-ups and overdue callbacks. Phone numbers show only the last 4 digits unless you turn on full numbers, and transcripts are never sent. Email and text alerts aren’t available yet.

How do I keep track of urgent calls?

Emergencies, Storm Mode and VIP calls go on the Critical calls board in your portal, with who answered or when a call back was promised. Your team logs each follow-up there — called back, left a message, no answer, resolved or a note.

How do I know Ava handled a call well?

Every call gets a quality score from 1 to 5 stars, with a short reason, in your call log.

Do you work with medical or dental offices?

Which plan should I pick?

Are text confirmations included?

They’re coming soon — we’re waiting on carrier approval for business texting.

Can medical or dental offices sign up?
