This page explains what Call Captain collects, why, who it’s shared with, how long it’s kept, and how to ask for it to be deleted.
People who call a business that uses Call Captain
- The AI receptionist tells callers at the start of every call that it is a virtual assistant and that the call may be recorded.
- Calls are recorded (both the caller and the AI receptionist). Recordings are stored with Twilio, can be played back by the business in its client portal, and are deleted after 90 days. If a call is transferred to a person at the business, recording stops before the transfer.
- What callers say is transcribed to text. The transcript, a short summary, the caller’s phone number and the details they give (name, email, address or other intake answers) are stored for the business they called.
- If a caller books an appointment and gives an email address on the call, a booking confirmation is emailed to that address. The business is emailed a short note about its calls (who called, why, and the result) at the addresses it chose.
- Text messages are only sent to callers who say yes on the call; that answer and the exact question asked are stored. (Texting is not switched on yet.)
- If the business chooses to connect Slack or Google Chat, short call summaries and alerts about the call are posted to the channel the business picks. They show the caller’s name, the reason for the call and the last 4 digits of their phone number — the full number only if the business turns that on. Transcripts and recordings are never sent there. Once posted, those messages are kept by Slack or Google under the business’s own account.
People on a business’s team
- A business can enter its team members’ names, phone numbers and emails in its client portal. Phone numbers are used to route the business’s calls: when a caller needs a person, Call Captain rings the team members the business chose, in order. Each person hears the caller’s first name and the reason for the call, and presses 1 to take it.
- The call log shows the business which team member took a call or logged a follow-up. Team members’ phone numbers are not shown in call records or chat alerts.
Businesses and people who use this website
- The contact forms store what you type: name, business name, phone, email, type of business, plan and message.
- To stop spam we store a scrambled, one-way code made from your internet (IP) address — not the address itself.
Service providers
Call Captain runs on: Twilio (phone calls, call recordings and text messages), Anthropic (the AI that runs the conversation), ElevenLabs (the voice), Deepgram (turning what callers say into text), Cal.com (scheduling), Supabase (database), Cloudflare (hosting), Resend (email delivery) and Google (optional sign-in to the client portal). If a business connects them, call alerts also go to Slack or Google Chat.
How long we keep it
Call recordings are deleted 90 days after the call. Call transcripts and caller details are kept until the business deletes them, or for 12 months after the business cancels, then deleted.
Health information
Call Captain is not offered to medical or dental offices and is not designed for health information.
